Order Management Specialist

The W.F. Young team is seeking an Order Management Specialist who is responsible for executing and managing the end‑to‑end order fulfillment process to ensure accurate, timely, and compliant delivery of customer orders. This role serves as a key operational link between customers, internal teams, and third‑party logistics partners, supporting high service levels and adherence to customer, transportation, and compliance requirements. This position is based on site at our East Longmeadow home office.
Key Responsibilities
Order Processing
- Accurately enter, review, and confirm customer orders in the ERP (Acumatica) system.
- Validate pricing, product availability, lead times, and delivery dates prior to order confirmation.
- Manage order changes, cancellations, and exceptions in accordance with company and customer policies.
- Ensure order accuracy to support on‑time, in‑full (OTIF) performance.
EDI Order Management
- Monitor and process orders and transactions received via Electronic Data Interchange (EDI).
- Ensure EDI transactions are accurate, complete, and integrated properly into the ERP system.
- Troubleshoot and resolve EDI-related errors or discrepancies in collaboration with IT, customers, and trading partners.
- Partner with the Order Management Supervisor to support expanded use of EDI by providing feedback on transaction quality and process gaps.
Order Tracking & Communication
- Monitor order status and proactively communicate order confirmations, delays, shortages, or issues to customers and internal stakeholders.
- Resolve discrepancies or issues related to orders, shipments, or invoicing.
Coordination & Collaboration
- Work closely with Customer Service, Supply Chain, and logistics/Distribution teams to ensure timely fulfillment.
- Coordinate with warehouse and 3PL partners to ensure orders are shipped per customer and routing requirements.
- Apply routing guides and transportation instructions as defined by Supply Chain or Logistics.
Documentation & Compliance
- Execute orders in accordance with customer‑specific requirements (routing, labelling, documentation, delivery windows).
- Ensure ERP (Acumatica) and support system data integrity to support reporting and analysis.
- Maintain customer compliance documentation and requirements.
- Retain accurate records of orders, changes, and customer communications.
- Support chargeback prevention efforts through accurate execution and documentation.
- Maintain compliance with company policies, contractual terms, and regulatory requirements.
- Identify and escalate potential non‑compliance risks to the Order Management Supervisor.
Continuous Improvement
- Support cross‑training and documentation to provide coverage and redundancy.
- Assist with initiatives to improve customer experience and streamline workflows.
- Participate in process improvement initiatives related to order management, EDI, compliance, and fulfillment.
Key Qualifications
- High school diploma or equivalent required; post‑secondary coursework or an associate degree in business, logistics, supply chain, or a related field preferred.
- Experience in order management, customer service, or a related supply chain or operations function preferred.
- Proficiency with ERP systems and Microsoft Office applications.
- Experience with Electronic Data Interchange (EDI) systems and order processing workflows strongly preferred.
- Strong attention to detail with the ability to accurately manage order data, documentation, and compliance requirements.
- Effective written and verbal communication skills with internal teams, customers, and external partners.
- Strong organizational and time‑management skills with the ability to manage multiple priorities.
- Demonstrated problem‑solving skills and the ability to proactively identify and resolve issues.
- Ability to work collaboratively in a cross‑functional, fast‑paced environment.
- Familiarity with customer compliance requirements and third‑party logistics (3PL) environments a plus.
Salary Range: $54,700 - $62,800 *compensation based on candidate’s experience*

The W.F. Young team is seeking a Marketing Production Coordinator who is responsible for managing the execution and production of marketing assets across the company’s portfolio
of animal health brands. This role serves as the central coordinator for packaging and label artwork, point-of-purchase materials, trade assets, and marketing content, ensuring projects move efficiently from concept through final, production‑ready delivery. The position owns workflows, timelines, and cross‑functional coordination to ensure assets are accurate, compliant, on brand, and delivered on schedule. Working closely with Brand Management, Product Management, Quality, Regulatory, Operations, Sales, and external partners, the Marketing Production Coordinator plays a key role in supporting product launches, commercialization readiness, and ongoing marketing initiatives. This
position is based on site at our East Longmeadow home office.
Key Responsibilities
Packaging & Label Artwork Production (Core Responsibilities)
- Coordinate the end-to-end development of product labels and packaging artwork for new products, product updates, and line extensions.
- Manage project workflows from creative brief through final approval, ensuring completion within timelines.
- Obtain dielines, production specifications, and technical parameters directly from
suppliers and communicate requirements to designers. - Route artwork through structured review cycles with Marketing, Quality, Regulatory,
and Executive Leadership (for new products) consolidating feedback into clear revision directions for designers. - Coordinate supplier proofing stages (PDF, color proof, final approval) and track progress to ensure deadlines are met.
- Maintain version control and ensure final artwork is production-ready and accurately reflects approved claims and regulatory content.
- Upload final artwork files to Salsify and ensure integrity of artwork file management.
Point-of-Purchase (POP) & Trade Materials Production
- Lead development and execution of retail display materials, signage, and sales tools (sell sheets, promotional materials, etc.) and tradeshow materials (banners, posters, etc.) that support product launches and ongoing sales initiatives.
- Coordinate structural specifications, production vendors, and production timelines for displays, sales, tradeshow, and in-store materials.
- Ensure materials align with brand standards, retailer requirements, and operational logistics.
- Partner with Sales and Marketing to deliver assets aligned to customer programs and
launch calendars.
Content Production & Asset Development
- Support production of marketing content including photography, videography, user-generated content (UGC), social media assets, PR materials, and campaign deliverables.
- Manage timelines and deliverables with internal stakeholders and external agencies, creators, and freelancers.
- Ensure final assets are properly formatted for intended channels digital, retail, sales enablement).
- Support execution of integrated campaigns by ensuring assets are delivered accurately and on schedule.
Workflow & Project Management
- Serve as the central coordinator for marketing production workflows, maintaining schedules, dependencies, and approvals across multiple concurrent projects.
- Utilize project management tools (e.g., Wrike) to track milestones, manage timelines, and ensure accountability.
- Identify risks, bottlenecks, or missing inputs early and proactively drive resolution.
- Ensure process steps are followed to maintain predictable project timelines.
- This role coordinates and facilitates approvals but does not serve as a final approver for regulatory, quality, or brand decisions.
Cross-Functional Integration
- Act as liaison between Marketing, Quality, Regulatory, Innovation, and Operations to ensure artwork and materials meet both creative and technical requirements.
- Support commercialization readiness by ensuring assets are finalized in time for production, system uploads, and go-to-market execution.
- Facilitate clean handoffs of final approved artwork for ERP uploads and product launch
preparation.
Asset Organization & Governance
- Maintain organized archives of final artwork, dielines, and production files.
- Ensure proper file naming, versioning, and accessibility across teams.
- Help enforce standardized processes to support scalability as product volume grows.
Key Qualifications
- Bachelor’s degree in marketing, communications, Graphic Production, or related field.
- 2–5 years of experience in marketing production, packaging coordination, print production, or project management (CPG, animal health, or regulated industry preferred).
- Demonstrated ability to prioritize competing deadlines in a fast-paced, launch driven environment.
- Demonstrated experience managing artwork, packaging, or print workflows with multiple stakeholders.
- Strong understanding of production processes, including print specifications, dielines, and proofing cycles.
- Highly organized with the ability to manage multiple complex projects simultaneously.
- Proficiency in project management platforms (Wrike, Asana, Monday.com, etc.).
- Comfortable working with designers, printers, agencies, and cross-functional technical teams.
- Detail-oriented with strong communication and problem-solving skills.
Salary Range: $57,800 – $68,400 *compensation based on candidate’s experience*
